Availability and calendar

Your hours, the four settings that protect your day, and connecting Google Calendar.

The most important screen in the product. The assistant will book anything you tell it it can book, so what you put here is what your week looks like.

Your hours

Set real hours, per day. Not "9 to 5" if Friday you stop at noon, and not 8am if you are not answering the phone until 9.

Days you leave empty are days nobody can book. That is the correct way to take a day off.

The four settings that actually protect you

These are the ones people skip and then wonder why their calendar is unusable.

Appointment length. How long one meeting takes, door to door. If your estimates run an hour, do not put thirty minutes here because it feels tighter.

Buffer. Dead time held after every appointment. This is drive time, notes, and the bathroom. Fifteen minutes is a sane default; thirty if you drive between jobs.

Minimum notice. How far ahead someone must book. Without it, a lead can book you for eleven minutes from now while you are on a ladder. Set it to however long you need to get there.

Maximum per day. The cap that stops a great day from becoming an impossible one. Six good appointments you show up to beats eleven you are late for.

Blackout dates

Specific days nobody can book, regardless of your weekly hours. Holidays, vacation, the day of your kid's thing.

Blackouts beat everything else. A date on this list cannot be booked even if it is inside your normal hours and your calendar looks empty.

Timezone

Set it correctly and check it. It drives more than you think:

  • Which hours the assistant offers
  • When automated texts are allowed to send, which is held to 8am–6pm in this timezone
  • How times are read back to a caller

Connect Google Calendar

Do this. It is the difference between a scheduling tool and a real calendar.

Without it, LeadBind only knows about appointments LeadBind made. Your dentist appointment, your kid's recital, and the job you booked over the phone are all invisible, and it will book on top of every one of them.

With it, LeadBind reads your existing busy times and refuses to offer them. Appointments it books get written onto your calendar, so your phone reminds you like everything else does.

What we ask Google for: permission to see your events and busy times, and to create events. Nothing else. Full detail in the Privacy Policy.

You can disconnect any time from this screen, or revoke it at your Google account. Disconnecting deletes the stored tokens immediately.

Note: If you connected Google and appointments are still colliding, check that you connected the calendar you actually use. People with several calendars often connect the empty one.

How a time gets offered

Every open slot survives all of this before a caller ever hears it:

  1. Is the day inside your weekly hours?
  2. Is the date on your blackout list?
  3. Is it at least your minimum notice away?
  4. Would it fit, including your buffer?
  5. Have you already hit your maximum for that day?
  6. Is anything on your connected Google Calendar in the way?

If a caller says "you had nothing available," it is almost always step 3 or step 5.
